EAP Administrator

Vhi is Ireland’s No.1 Health Insurer. Vhi Health & Wellbeing has been established to develop medical, health and wellbeing services for Vhi customers. Vhi currently provides a range of health and wellbeing services to its customers.

We are currently looking for an EAP Administrator to join our team.

The Role 

Support the EAP Consultants and Associates in the servicing of their clients and co-ordinate key talks with our EAP Service Provider .

Key Responsibilities:

  • Dealing with general enquiries, emails, correspondence and telephone calls both external and internal. Provide administrative support to the EAP team with client activities, ranging from minute taking at key meetings to the document drafting for the implementation of new clients.
  • Provide administrative support in the management of a third party EAP provider. 
  • Support with the coordination and administration of training, seminars and programmes.
  • Ensure timely ordering of monthly EAP reports, including benchmark reports and trend analysis reporting.
  • Quality control by auditing team adherence to policies and procedures. 
  • Organise accurate monthly invoicing of EAP provider and internal invoicing of PBD and Corporate Business for services provided to Vhi corporate customers.
  • Ensure departments standards and policies are implemented at all times. In addition, assist with ISO auditing as required and assist in the induction new staff to EAP policies & procedures.
  • Quarterly stock taking of EAP marketing literature and organise re-orders of material where required.
  • Provide support when Wellness admin and/or OH admin are on Annual/Extended leave Update & maintain data within EAP operational and financial reporting systems such as QPulse, Salesforce, and CSL etc.
  • Maximise opportunities to identify new and improved ways of working
  • Manage EAP complaints received at source in line with Complaints Procedure.
  • Minimum 2 year’s experience in an administrative role.
  • Experience of working with a highly driven, motivated client facing team.
  • Experience, or a keen interest, in workplace support and employee wellbeing is desirable but not essential.
