SW Portfolio Management Specialist

As part of SAP’s IT unit, the IT Strategic Central Service team provides end-to-end strategy support. This includes driving all cascading efforts of the organization’s strategic direction, based on SAP’s corporate goal of delivering and running The Intelligent Enterprise. IT transformation, communication, branding, organizational development, CIO office support, and IT Asset Management services are in focus of the team’s day-to-day activities.
One of the IT Asset Management unit’s strategic objectives is to centralize the management of 3rd party software under the organization of the CIO.  This Software Centralization effort has high visibility as it will result in significant cost savings and cost avoidance.  
To help scale the centralized management of 3rd party software, we are building up a Software Asset Management (SAM) Center of Excellence (CoE) in Dublin, Ireland.  We are looking for highly motivated & committed candidates with the right experience to help us with our mission to centralize all 3rd party software and subsequently drive operational excellence in centrally managing 3rd party software. 

EXPECTATIONS & TASKS

  • Software lifecycle management processes: Perform software lifecycle management related activities, which includes demand management, support contract negotiation, procure software, maintain software pricing framework, support software entitlement tracking & chargeback, fulfill contract & software vendor expectations to ensure effective management of SW portfolio
  • Quality:  Ensure quality data in key asset attributes and understand how key asset attributes support service management processes (e.g. software license, financial management, compliance, etc.).
  • Central contact: Act as central contact for a select set of 3rd party software, consulting with end users to provide advice.
  • Compliance:  Actively support SW compliance assurance throughout the SW asset lifecycle, incl. SW audit support, SW metering (own vs. use)
  • Partnerships: Build collaborative relationships that result in sustainable partnerships with key SAP software consumers.
  • Continuous improvement & optimization: Actively support continuous improvement, simplification and automation of major business processes; as well as minimize software spend via contract and consumption optimization, centralization of 3rd party software spend, etc.

WORK EXPERIENCE
Required experience

  • 3+ years professional work experience with a strong focus on procurement, process management, and/or service management, ideally within SAP
  • Experience working in a global IT or Purchasing organization is beneficial
  • Experience in Software Asset Management, incl. software licensing, contracts, compliance, etc.
  • Experience in process ownership and process optimization

Required skills

  • University Degree in Business Informatics / Business Administration/ Computer Science / Informatics/ Engineering or equivalent experience with emphasis on Computer Science, Informatics or Business Administration
  • Willing to learn about IT Asset Management process operations, lifecycle process controls, process optimization & service transformation
  • Deep knowledge in MS Office applications (e.g. Excel, PowerPoint, Teams)
  • Strong analytical skills, with conceptual and structured thinking with strong sense of prioritization, results and execution focused
  • Excellent interpersonal, verbal, presentation and writing skills to successfully interact with colleagues and executive management alike
  • Experience in customer/ stakeholder management incl. expectation management
  • Experience in a fast-moving business environment with a certain degree of autonomy
  • Ability to work under high pressure, cope with deadlines, ability to prioritize and deliver results quickly with high sense of responsibility and quality
  • Ability to deal with ambiguity, self-driven & enthusiastic about driving process improvements
  • Ability to work autonomously while simultaneously being assertive within the team

Preferred skills

  • Knowledge of and experience in IT Software Asset Management (e.g. Lifecycle, Compliance, Licensing, etc.)
  • Understand software licensing models and practicalities of chargeback in a complex, matrixed organization
  • Experience working with global procurement teams
  • Tool knowledge and experience in SAP BI, SAP ERP, Ruum, JIRA, SAP JAM
